Need Scheduled vs Actual Hours Report with correct data
We are in need of a scheduled vs actual report that shows correct data per person. Our department has been entering scheduled and actual time for a month now and we really need a simple way to see how we are doing with that.
Standard report Schedule v Actual Hours is the exact layout we are looking for: scheduled, actual, and variance. The chart is great too. However, we have a few issues:
-
Need it by person – so if I filter for a specific resource pool, I need to see these columns with people who are in that RP listed separately. As is, it lumps people together when selecting more than one person or one RP.
-
The actual hours are incorrect. Projects, tickets, requests, and portfolios are all selected, but here are two examples of incorrect data:
-
Eugene has 174 actual hours logged in his time card for the month of July. This report shows that he has only 11.25 actual hours in July
-
Sarah has 180.25 hours in July according to time card. This report shows that 34 actual hours in July.
-
So, I created my own Scheduled v Actual hours report by resource pool . I had to create a new "scheduled vs hours by project report" and adjust it because "scheduled vs hours" was not an option when selecting the report type. Here is the problem with this report:
- This report is leaving out what seems to be the ticket time. Sarah's time is correct, but Eugene's is short 19.25 which is exactly his time spent on tickets. Since Sarah doesn't enter time in individual tickets, that further validates that ticket time is not included here. I assume that is because I chose the type scheduled vs actual by project.
- Less importantly, we can't find a way to add a variance field here.
- Also less importantly, we can't make a side-by-side bar chart?
- Note that we also want a column for capacity and you all have a bug ticket open for that because Capacity is not showing useful or correct data: bug ticket 23380125.
How can we get good scheduled vs actual data per person in a resource pool in a simple format?
Please advise!
Thank you, Sarah

Hi Brittany,
Removing the service resolves the actual hours discrepancy. However, we still have the problem that we don't want resource pool managers to have to enter in each name separately in order to view the actual vs scheduled. When more than one name is entered, the data is lumped together without indicating whose time is whose.
How can we show RP managers the individual Actual hours vs scheduled hours ?
Thanks,
Sarah
Hi Sarah,
I think the best bet would be to use the default Scheduled V Actual Hrs report in Analysis, since you won't be able to pull in both tickets and projects in the Scheduled V Actual Hrs by project report source. If you remove the filter for Service in your first screenshot, do the results match up with the correct actual hours on that users time card?
Thanks,
Brittany Renn
