Client Portal Profile Field Visibility

This introduction article will help users to understand what fields are visible on a person profile and who can view those fields using TDNext or TDClient. The user may have various permissions depending on their role. This is described below.

Overview

People record profile field visibility outlines which fields can be specified on a person or requestor profile and who can view those fields.

Where to Find This

This feature appears in the TDClient and TDNext interfaces.

TDClient is where your end users will interact with the tool to submit service requests, view knowledge base articles, and view the people profile information for anyone associated with their tickets.  TDNext is where licensed technicians will work on tickets, tasks, etc. and view people profile information for the requestor of the ticket.

Navigate to People Profiles following these paths:

  • TDClient > Services > Ticket Requests > Select your ticket and click on Requestor, Reviewer, Created, etc to view profile information for each role.
  • TDNext > Ticketing Application > Ticket > Click on Requestor, Reviewer, Created, etc to view profile information for each role. Within TDNext, you will also commonly use the People Application to view People Profile information.

Understanding Profile Field Visibility

Authenticated users will be able to access some person detail pages for people within their organization. These pages will display varying degrees of information depending on the permissions of the reader. Unauthenticated users cannot view person details.

If a user has the confidentiality flag checked on their profile, they will not show up in TDClient user searches like the Requestor field. Confidential people cannot be seen by unprivileged individuals within a Client Portal Application.

The following fields are visible to all Client Portal users:

  • Last Name
  • Organization
  • Title
  • Salutation
  • Middle Name
  • Nickname
  • Account/Department
  • Primary Group
  • Primary Functional Role
  • Resource Pool
  • Created
  • Modified
  • Time Zone
  • Primary Email
  • Alert/Notification Email
  • IM Details
  • Work Address
  • Work Phone
  • Pager
  • Fax
  • Other Phone

Custom attributes do not currently display in the Client Portal.

Visible to Self or Any TDNext User

The following fields are visible only to people viewing their own profile or anyone with access to the TDNext application:

  • Organizational ID
  • Alternate ID

Visible to Self or People Users

The following fields are visible only to people viewing their own profile or individuals with access to the People application:

  • Alternate Email
  • Reports To
  • Request Priority
  • Mobile Phone
  • Home Phone
  • Home Address

Visible Only to People Users

Custom attributes are only visible to individuals with access to the People application.

Visible People information on the Requestor Contact Card on a ticket (TDNext)

  • First Name & last Name
  • Email
  • Work Phone
  • Location + Location Room
  • Title
  • Organization
  • Org ID

Other

A person's list of status updates will only be visible to themselves or anyone with the TDNext application.

Editing Fields

Editable by Self

The following fields can be edited by users themselves and technicians in the People application:

  • First Name
  • Last Name
  • Organization
  • Title
  • Salutation
  • Middle Name
  • Nickname
  • Profile Image
  • Time Zone
  • Primary Email
  • Alert/Notification Email
  • Alternate Email
  • IM Handle/Provider
  • Work Address
  • Home Address
  • Work Phone
  • Mobile Phone

  • Pager
  • Fax
  • Other Phone
  • About Me

Only Editable by People Users

The following fields are only editable by technicians in the People application:

  • Account/Department
  • Request Priority
  • Organizational ID
  • Alternate ID
  • For non-user records:
    • Active status
    • Employee status

Only Editable by Administrators

The following fields are only editable within TDAdmin:

  • Reports To
  • Resource Pool
  • Primary Group
  • Primary Functional Role
  • For user records:
    • Active status
    • Employee status

Custom Attributes

Custom attributes can be configured in TDAdmin.

A requestor’s custom attributes are only visible to individuals with access to the People application. While editing a person, the attributes are only editable by individuals with access to the People application, including themselves.
