Portfolio Planning - Project Request Email Reply

Good morning:

I wanted to ask if there is a way to create and/or edit project request email responses? We would want clients to receive an email confirmation when project requests are submitted, canceled, approved, and converted to projects, similar to how users receive an automated email when service requests are submitted.

Thank you.

Hi Anderson,

You can configure Project Request Notification Templates in TDAdmin > Notification Templates > Project Request Notification Templates. You should be able to edit and then activate the ones for submitted, canceled, approved, etc. Let me know if you have any other questions about that.

Best,

Brittany

Also, here is a KB that goes over notification templates in more detail. I thought you may find it helpful. https://solutions.teamdynamix.com/TDClient/1965/Portal/KB/ArticleDet?ID=9157 - Brittany Renn Fri 11/4/22 1:42 PM
Thank you, Brittany:

I don't seem to have access to activating the response in TDAdmin. Is there a particular role or functionality that I would need?

Thank you.

Try clicking save on the template first and then see if the 'Activate' button appears. - Brittany Renn Fri 11/4/22 2:02 PM
Thank you. I was able to activate the "Request Submission Template" using your suggestion. Upon submitting a request from a test account, however, the test account did not receive the email notification. Is this notification for project reviewers or for clients? - Anderson Hanchett Fri 11/4/22 4:36 PM
I believe it notifies whoever is the evaluator on the project type. If you go into Admin > Portfolio Planning > Types > [select a type] you'll see there is an Evaluator field for each project Type which could be used during project request submission/creation. Set the value of for that field as needed for each Type. - Brittany Renn Mon 11/7/22 4:14 PM
Understood, thank you.

Is there any way to notify the requestor that their request has been received?

Thank you.

Unfortunately not in an automated way, no. Someone would have to manually notify them, but this seems a bit redundant in that the process to create a project request and submit it is very different from creating a ticket. The Request is already created and they then fill in additional details if needed prior to submitting it for review. Also, since only the request's creator can submit it, they are already *aware* that they submitted it. At this stage it would require an enhancement to the system to facilitate some automated notification to trigger at the point of submission. - Mark Sayers Thu 11/10/22 10:46 AM

I think you could notify the Requestor upon approval, by using the 'Request Approved' template, but there's not currently an automated way to notify the Requestor that their request was submitted that I'm aware of. If you have something specific in mind, you could put in an Enhancement Idea for it, here: https://solutions.teamdynamix.com/TDClient/1965/Portal/Requests/ServiceDet?ID=2148
