Working with the TeamDynamix Calendar

This how-to article will help users to learn how to interact with the TeamDynamix Calendar using the TDNext interface. The user must have access to the Projects application on their user record in order to access the Calendar application in TDNext.

Overview

The Calendar allows you to create an event or meeting and share it with other project or workspace team members. All calendar feeds, including Project/Workspace feeds, will be visible within the Calendar Feeds section of your project or workspace. You can download or delete a feed, edit the settings, or regenerate the URL. When downloading a feed, follow the instructions in Syncing the TeamDynamix Calendar with External Calendars to add the feed to an external calendar application.

Creating and Editing Events

To create an event:

  1. In TDNext, open the Calendar application.
  2. Click +New Event.
  3. In the New Event window, select the appropriate Project or Workspace from the dropdown.
  4. Enter a Title and fill in the remaining event details.
  5. Click the Save button.

To edit an event that you have created or are organizing:

  1. In TDNext, open the Calendar application.
  2. Click the event on the calendar.
  3. In the Event Detail window, click the Edit button.
  4. Make the desired changes to the event.
  5. Click the Save button.

Forwarding Events

Calendar events can be forwarded to project members or to individuals outside of the TeamDynamix system. You may include optional messages or attachments with the event invitation.

To forward a calendar event:

  1. In TDNext, open the Calendar application.
  2. Click the event on the calendar.
  3. In the Event Detail window, click the Action button, and select Forward from the dropdown.
  4. In the New Email window, enter the recipients’ email addresses and other details.
  5. Click the Send button.

Deleting Events

Recurring events can be deleted entirely, or just a single occurrence of the event.

To delete a calendar event:

  1. In TDNext, open the Calendar application.
  2. Click the event on the calendar.
  3. In the Event Detail window, click the Action button, and select Delete from the dropdown.
  4. If this is a recurring event, in the Delete Options popup, indicate whether to delete all instances of the event or just this one. Then click the Delete button.
  5. Click OK in the confirmation popup.

Filtering the Calendar

The Calendar allows you to display events, time off, tickets, project tasks, and project or workspace issues.  Sometimes if things aren’t showing up on the calendar, the filter needs to be adjusted to show the items you’re looking for.

To configure the entries in the calendar:

  1. In TDNext, open the Calendar application.
  2. Click the Filter icon (funnel) on the right side of the toolbar.
  3. In the right sidebar, select what items you’d like to see on the calendar. .
  4. Click the Apply button.

Calendar Feeds

TeamDynamix allows you to create one or more calendar feeds, which can be used by an external calendar application to view calendar entries outside of the TeamDynamix system. Once you have created a calendar feed, it will display in My Calendar Feeds. Project/Workspace feeds will also display within the Calendar Feeds section of the project or workspace.

Creating Advanced Personal Calendar Feeds

Advanced personal calendar feeds use a data source to create an external calendar view.

To configure an advanced personal calendar:

  1. In TDNext, open the Calendar application.
  2. Click Feeds in the toolbar.
  3. Click the +Add Personal Feed button and select one of the following:
    • Event Calendar - Shows calendar events, project tasks, issues, time off, and tickets.
    • My Work Calendar- Shows items that have been added to your My Work application.
    • Report Builder Report – Shows any report builder report that is configured to include a Gantt chart with start and end dates.
    • Ticket Calendar Search - Shows a saved ticket calendar search. This is a saved set of filters on the Ticket Calendar that were previously used and saved specifically by the user to access those filters again quickly.
    • Ticket Search - Shows a saved ticket search. Ticket Searches can be created and saved from the Ticketing application > Tickets option on the left-hand navigation pane. Simply set any desired filters as needed in the filters area (accessed by the funnel-shaped button), then select the Save Search button along the middle of the upper area of the results pane.
  4. Enter a Name and fill in the remaining details.
  5. Click the Save button.

Creating a Project or Workspace Calendar Feed

Calendar feeds can also be created for a project or workspace. Only the manager of the project or workspace can view the calendar feeds section.

To create a calendar feed for a project or workspace:

  1. In TDNext, open the Calendar application.
  2. Click Feeds in the toolbar.
  3. In the My Calendar Feeds window, click the +Add Project/Workspace Feed button.
  4. In the New Project/Workspace Feed window, enter a Name, select a project or workspace, what types of events to display.
  5. Click the Save button.

Gotchas & Pitfalls

  • Calendar feeds will only process from TeamDynamix to the calendar application of your choosing. Changes made in (for instance) Outlook to a calendar item will not be reflected within TeamDynamix.
