Using Shared Dashboards

When technicians want to share/display reporting information with each other, they can create shared dashboards.

Shared Dashboard Permission 

In order to share dashboards in Work Management, the user must have the Allow User to Share Dashboards global security role permission. This will allow the user to share any dashboard that they own in the Work Management home tab with individual other users, with groups, or with all Work Management users (equivalent to the sharing options for report builder).  

Sharing Dashboards via Work Management 

Users with permission to share dashboards can share them in Work Management by following these steps: 

  1. In the home tab of Work Management, navigate to the dashboard you want to share. 
  2. In the toolbar, select Edit Dashboard.
  3. In the dashboard editor, select Dashboard Settings. 
  4. In the Visibility section, change the visibility from Just Me to Everyone or Me and Others. 
  5. If you selected Me and Others, choose the people or groups that the dashboard should be shared with. 
  6. Save.

Once the dashboard has been shared, changes made via the dashboard view will not be shared with other users with the dashboard, but changes made in the dashboard editor are shared with everyone with this dashboard. A new Shared Widget Filters button will appear in the dashboard editor allowing the user to make changes to dynamic widgets that will be shared with other users.  

Managing Shared Dashboards in TDAdmin

Shared Dashboards can be managed in TDAdmin > Dashboard Templates > Shared Dashboards. From this page, administrators can: 

  • View Shared Dashboards and Dashboard Templates
    • Shared Dashboards will show their ownership and visibility 
    • Dashboard Templates will show System as the owner.
  • Change the owner of shared dashboards
  • Edit Dashboard Settings for shared dashboards, including name and description, sharing settings, auto-refresh settings, and client portal publishing settings.
