Getting Started with Locations and Location Rooms

This getting started article will help Administrators to to add and and maintain a list of locations and associated rooms using the TDNext interface. The user must have the Assets/CI's application.

Overview

A location describes the physical location of a ticket. This identifies the place where the issue is occurring, potentially informing the technician which location to visit. Locations are often equated with buildings associated with an organization. If desired, location rooms can also be specified within a location.

Where to Find This

These features appear in the TDNext interface within the Assets/CI’s application.

Navigate to the Assets/CI’s application following this path:

  • TDNext > Application Menu > Assets/CI’s

Viewing the List of Locations

Users can view the list of locations in a Ticketing or Asset/CI Application.

To view Ticketing Application locations:

  1. In TDNext, open the Applications Menu then select the [Ticketing application name]
  2. Click the gear icon on the toolbar.
  3. Select Locations.

To view Asset/CI Application locations:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Select Locations in the left navigation.

To view a list of all locations for your organization:

  1. In TDAdmin, navigate to Organization Settings > Locations.

Adding a Location

Users must have the Create and modify the list of locations and their rooms permission to manage locations and rooms. 

To add a location:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Click the +New button.
  3. Select Location from the dropdown.
  4. Fill in the required and optional fields in the New Location window.
  5. Each row entered in the Rooms List field will create a different Location Room entry within that Location. The Room List allows you to generate rooms within the location automatically but does not fill in any details for those rooms. 
  6. Click Save

 

Importing Locations

An organization often will have enough locations to which it makes sense to import, rather than to create manually.

To import locations:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Click the Import button, then select Location Import from the dropdown.
  3. In the Location Import Step 1 popup window, download the template or upload your own Excel file with required fields.
  4. Click the Next button.
  5. In the Location Import Step 2 window, select which sheet the data is on and whether the data has a header row.
  6. Click the Next button.
  7. In the Location Import Step 3 window, map the columns to the relevant TeamDynamix location fields.
  8. Click the Next button.
  9. This read-only page will show the first 100 example locations.
  10. Click the Import button.

To import location rooms:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Click the Import button, then select Location Room Import from the dropdown.
  3. In the Location Room Import Step 1 popup window, download the template or upload your own Excel file with required fields.
  4. Click the Next button.
  5. In the Location Room Import Step 2 window, select which sheet the data is on and whether the data has a header row.
  6. Click the Next button.
  7. In the Location Room Import Step 3 window, map the columns to the relevant TeamDynamix location fields.
  8. Click the Next button.
  9. This read-only page will show the first 100 example locations.
  10. Click the Import button.

Modifying Locations and Rooms

Locations can be edited and deactivated in TDNext on the Edit Location page.

To modify a location:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Click the Locations link in the left navigation.
  3. In the Locations display window, click the name link of the Location you’d like to modify, then click the Edit button in the popup window.
  4. Edit the required and optional details as desired.
  5. You can add attachments using the +Attachment button.
  6. Click the Save button.

In the Rooms section, you'll see a list of the Rooms that have been defined for the location.

To add, edit or delete a room:

  1. In TDNext, open the Applications Menu then select the Asset/CI Application
  2. Click the Locations menu item
  3. From the list of Locations, Click the Location name that the room will be associated with
    1. To add a new Room, click +Room. Fill in the room's attributes and save. 
    2. To edit a Room's details, click Edit in the list of rooms or from the Room Details page. 
    3. To delete a Room, click Delete in the list of rooms.
  4. Click Save
