Asset Forms

This introduction article will help administrators and technicians to view and create asset forms using the TDNext or TDAdmin interfaces. The user must have the permission to the Asset/CI application in their user record in TDAdmin to access the asset forms in TDNext. To create forms, the user must have the app admin permission in their user record in TDAdmin OR access to TDAdmin.

Overview

Asset forms determine what fields will appear when creating and updating an asset. Administrators can define asset forms in TDAdmin and choose which ones are available as pinned forms. 

Where to Find This

This feature appears in the TDNext and TDAdmin interfaces.

TDNext is where technicians can view and update values on asset forms, and TDAdmin is where administrators or app admins can create and edit asset forms.

Navigate to asset forms following these paths:

  • TDNext > Applications > [Asset/CI Application] > +Asset
  • TDAdmin > Applications > [Asset/CI Application] > Asset Forms

Creating Asset Forms

To create a new asset form:

  1. In TDAdmin, navigate to Applications > [Asset/CI Application] > Asset Forms
  2. Within this page, administrators can create new asset forms, set the default form, or reassociate forms. Click a form's name to open the Form Builder in a new tab and edit the form's settings and fields.
  3. Click the +New button.
  4. Name the form.
  5. Determine if it should be Active (i.e., ready for use) and if all help text should be expanded.
  6. If applicable, select an existing form for the new form to be copied from.
  7. Click Save.
  8. Select the form you created.
  9. In the Designer tab, add, remove, and reorder attributes on the form.
  10. Select Save when your form design is complete.
  11. Under the Settings tab, you can make changes to any of the fields filled out when initially creating the form.
  12. Under the Preview tab, you can observe how the form will appear in TDNext.

Within this page, administrators can create new asset forms, set the default form, or reassociate forms. Click a form's name to open the Form Builder in a new tab and edit the form's settings and fields. 

 

Using Asset Forms

In TDNext, each asset includes an asset form, which determines what fields will appear when creating and updating the asset. When creating a new asset, the user will click the +Asset menu, then select the appropriate asset form from the list.

When creating or editing an asset, users can select a different form in the Form field. As with Tickets, fields that are not included in the form will be listed at the bottom of the page in the Other Fields section. 

Note: Duplicate Asset checking will only evaluate editable fields on the form, as if the field is not editable. The user will therefore be unable to control if there are duplicates.

Gotchas & Pitfalls

  • The Status field is required on asset forms. Status fields must provide default values if they are marked as read-only or hidden. Serial Number or Name fields are also required. i.e., You cannot exclude both from a form. If both fields are marked as read-only or hidden, at least one of them is required to have a default value.
