Adding Time Types and Expense Accounts to Projects

This how-to article will help project managers to add time and expense types to their projects using TDNext. The user must be the project manager or manage the portfolio or program the project is in and have the Manage all project sin my Portfolios and Programs permission in TDAdmin.

Overview

Time types are used to categorize tracked time. These Time Types can help technicians, project managers and team members track their actual time for resource management purposes.

Expense types are used to categorize spending and are used as part of resource planning and Management.

Adding Time Types to Your Projects

The project manager needs to add time types to be used by the project team when using TDTime and Expense.

To add a time type, the project manager must:

  1. In TDNext, navigate to Applications > Projects.
  2. Search for the appropriate project and click the project Name.
  3. Click the Manage link under that project in the left navigation.
  4. In the Manage window, click on Settings.
  5. Scroll to the bottom of the project window to find the Time Types section, then click the +Add button.
  6. Select the appropriate time type(s) from the Add Time Types selection box (hold the control key for multiple types).
  7. Choose whether these Time Types will be active for this project via the Active checkbox.
  8. Click the Save button.

Adding Expense Accounts to Your Projects

The project manager needs to authorize expense types to be used by the project member's when using Time and Expense.

To add an expense, the project manager must:

  1. In TDNext, navigate to Applications > Projects.
  2. Click Manage Projects in the left navigation.
  3. In the Manage Projects window, select the appropriate project.
  4. Click the Expenses tab.
  5. Select the appropriate expense type(s) from the Expense Accounts selection box (hold the control key for multiple types).
  6. To indicate the expense is billable by checking in the Billable checkbox.
  7. Click the Add button.

Examples

Common time types include vacation, holiday, project time, ticket time, administrative, travel, meeting, professional development.

Common examples of expense types include hardware, software, airfare, hotel, general equipment, licensing, parts for laptop repair.
