Getting Started with Contracts in TeamDynamix

This overview article will help asset managers to create and manage various contract types within TeamDynamix. The user must have the following settings enabled within the Security Role: Asset Application Technician security or greater.

Putting Contract details into TeamDynamix can help you with your Asset Management solution. By associating contracts with Assets, you can keep track of costs and maintenance associated with your assets.

Getting Started with Contracts

Some contextual information about the instructions. Example instructions:

  1. In TDNext, go to the Assets application
  2. Click the +New button, then Contracts
  3. In the pop-up window:
    • Enter the Contract number
    • Choose a contract Provider. A contract Provider can be created as a Vendor with the Contract Provider box checked.
    • Select the Contract Type.
    • Enter the Date Model
    • Enter a Contract Price, if needed
    • Enter an Acct/Dept, if needed
    • Enter a Description, if needed
    • Add an Attachment, if needed (could be an electronic copy of the contract)
    • Click the Save button to save your Contract.

Contract Types

TeamDynamix has a list of four contract types available:

  • Warranty: Reflects a guarantee within the contract that the Items will function as intended during the defined warranty period.
  • Service Contract: Used to define the repairs to an asset or an asset list that the warranty provider is responsible for covering.
  • Support Contract: A contract the defines the types and levels of support to be made readily available by the contract provider for a designated timeframe.
  • Upgrade Protection: A contract where the Customer is guaranteed to receive bug fixes, patches, New Versions and New Releases of the Software as they are made available.
     

Date Models

TeamDynamix offers two types of Date Models:

  • Fixed: Has a set Start Date and End Date
  • Sliding: Has an End Date that depends upon the acquisition date of the asset (e.g., End Date will always be 2 years after the acquisition date)

Editing Contracts

To edit a contract:

  1. In TDNext, open an Assets/CI Application.
  2. On the right hand pane, select Contracts.
  3. Click the Name link of the contract you’d like to edit.
  4. In the Contract Detail window, click the Edit button.
  5. Change the required and optional details as desired.
  6. Click the Save button.

Deleting Contracts

Contracts need to be deleted one-by-one.

To delete a contract:

  1. In TDAdmin, go to Applications > Assets/CI Application > Contracts.
  2. In the Contract column, click the Name link of the contract you’d like to delete.
  3. In the Contract Detail window, click the Delete button.
  4. In the window that opens, click OK.
