Configuring a Workspace for a Team

This article describes how to set up a Workspace for a team working in TeamDynamix who work on multiple types of work and need a way to see everything at once. For step by step instructions related to configuring a workspace, see this article

Creating a Workspace

As a team leader, you will need the global security permission Add Workspaces and the Workspaces application to create a new workspace. When you create a workspace, you will be listed as the workspace owner and will have the ability to modify the workspace, add & remove workspace members, and configure workspace rules. 

Workspace Members

In order for your team to use a workspace, they must have the Workspaces application and must be added to the workspace. Workspace members can be added and removed on the Members page in the Workspaces application. When you add members, you can add them one by one or by choosing a group and adding all members of that group to the workspace. 

Permissions and Security Settings

Workspaces act as a way to see and visualize work throughout the rest of the TeamDynamix system, and so in most cases, the security permissions on any item are the same for each user as if they accessed that item directly (or tried to). There are a few security permissions and settings to consider that override this behavior

  1. When a user is added to a workspace, they gain the ability to manually add and remove work items throughout the system to the workspace.
  2. Users with the global security permission View Projects in my Workspaces can view projects and their components that have been added to their workspace, similar to how an Analysis user can view projects that they are not a member of.
  3. All users in a workspace can view tickets and ticket tasks in a ticketing application that they don't have if that ticketing application has enabled the setting Always allow workspace members to view tickets and ticket tasks that have been added to their workspace.
  4. All users in a workspace can assign tickets and ticket tasks in a ticketing application that they don't have if that ticketing application has enabled the setting Always allow workspace members to assign responsibility of tickets and ticket tasks that have been added to their workspace.
  5. Users can add Resources to a Project directly if the project setting Require approval from a project manager when resources are added from a workspace is not enabled. When it is enabled, adding a resource will trigger a resource request to the project manager. As with other project settings, the default value of this setting is controlled by the Project Type and can be configured in TDAdmin. 

By enabling these settings, you can allow your team to work on items that they are not directly related to more easily. However, if you don't need this additional access, you can keep these settings disabled and keep the original access in the related ticketing applications. 

Adding Work to Workspaces

To make working in workspaces efficient, you can create workspace rules, which define a set of items that will be automatically added to the workspace. Each rule targets one item type (ticket, issue, etc.) and finds the relevant items using a set of filters. These filters work the same as building a report, allowing you to fine tune which items will get added to a workspace. Each item is evaluated when it is created or modified to see if it meets any active rules and is added to those workspaces.

Each workspace rule has an Owner, which defaults to the person who created the rule. The rule will run with the owner's permission and application access.
