Working with Project Links

This how-to article will help project team members add and manage hyperlinks to external information on a Project application in Work Management.

Overview

Links can be used to reference documentation and other information sources that are not included in the project briefcase.

Creating a New Link

To create a new web link:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the +New button on the Links page.
  5. In the New Link window, enter a Title.
  6. Paste the URL.
  7. Select a Category from the dropdown or create a new one by clicking the plus button on the right side of the field.
  8. Click the Notification field and begin to type a user’s name or select someone from the dropdown.
  9. Enter a Description for the web link if desired.
  10. Click the Save button.

Editing a Link

To edit an existing link:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the View Detail link in the list.
  5. On the Link Details page, click the Edit button in the toolbar.
  6. Update the link details.
  7. Click the Save button.

Forwarding a Link

To forward a link:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the View Detail link in the list.
  5. On the Link Detail page, click the Actions button and select Forward from the dropdown.
  6. In the email window containing the link details, enter any recipients, add your own message, and any attachments if desired.
  7. Click the Send button.

Opening/Viewing a Link in a Browser

To open a link in a new browser window:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the link title in the list.

The Read by Feature

Project members and managers can view a history of who viewed a link and when.

To view the Read By history:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the View Detail link in the list.
  5. Review the list of users who have viewed the link in the Read By section of the Link Details window.

Deleting Links

To delete a web link:

  1. In Work Management, navigate to View Applications, and select the appropriate Project application.
  2. Click the appropriate Project in the left navigation.
  3. In the left subnavigation, click Links.
  4. Click the View Detail link in the list.
  5. In the Link Detail window, click the Actions button and select Delete from the dropdown.
  6. Click OK on the confirmation message.
