This how-to article will help project members learn how to make announcements to others on their project using the Work Management interface.
Overview
Announcements help communicate comprehensive messages to project members by prominently featuring them on the project's homepage or by sending email notifications.
Announcements are project-specific and will not be visible in another project’s announcements display. You can also add an announcement display to your project or main desktop. Documents, code samples, articles, instructions, screenshots, or other images can be attached to an announcement.
Creating a New Announcement
To create a new announcement:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
- On the Announcements page, click the +New button in the toolbar.
- In the New Announcement window, enter a Title.
- Click the Projects/Workspaces dropdown, click the checkbox for all the projects or workspaces to which you’d like to post this announcement. Enter the announcement details in the Body field.
- To add an attachment, click Browse, select your files, then click the Upload button.
- If an announcement has an attachment, it can be viewed from the Announcement Detail window.
- Check the Notify users about this announcement checkbox to send an email notification to all project members.
- Fill in the remaining details and click the Save button.
Deleting Announcements
Deleting announcements from the project will remove any content shared with project members. Any member logging in will no longer be able to see the actual announcement. However, if “Notify user about announcements” was checked, an email would still have been sent to the members.
To delete an announcement:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
- Click the title of the appropriate announcement in the list.
- In the Announcement Detail window, click the Delete button.
- On the confirmation popup, click OK.
Deleting Announcement Attachments
To delete an attachment:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
- Click the title of the appropriate announcement in the list. The attachment(s) will appear on the right side of the Announcement Detail window.
- Click Delete under the attachment you’d like to delete.
- Click OK in the confirmation popup.
Searching Announcements
Announcement searches allow you to search all announcements in a project by keyword.
To search project announcements:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
- Enter a keyword or phrase in the search box above the announcement list and click the Search button.
The Read by Feature of Project Announcements
Project members and managers can see who viewed an announcement and when that announcement was viewed.
To view the Read by history of an announcement:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
- The list of members who viewed the announcement will appear in the Read by table at the bottom of the right column of the Announcement Detail window.
Viewing the List of Announcements
To view the list of announcements:
- In Work Management, navigate to View Applications, and select the appropriate Project application.
- Click the appropriate Project in the left navigation.
- In the left subnavigation, click Announcements.
All project announcements will appear as a list.
Gotchas & Pitfalls
- Announcements will not automatically send an email to project members. One must select “Notify users about this announcement” to do this action while creating the Announcement.
- Announcements will not allow you to pick and choose who can see the announcements or receive the email. It is either all members or no members.
- Announcements will also appear in the Client Portal for project stakeholders; therefore, we recommend confirming that you want to share them with others associated with the project.
Examples
- Important weekly announcements, such as upcoming milestones, deadlines, and system maintenance impacting the project, are often added as Announcements.
- For implementations, we often see the Go Live date announced via Announcements.
