Working with Project Update Templates

Overview

Project update templates allow for consistent update comments and formatting, even when multiple project managers are updating projects. When updating a project, comments can be automatically generated by selecting a project update template.

Where to Find This

This feature is available in Work Management and Project application admin interfaces.

Project Update Templates will be accessed when updating a project through the Work Management interface, and the Project application admin will be used to configure Templates and Categories.

Project Update Template Categories

Before creating a project update template, you will need to create a project update template category. Project update template categories allow similar templates to be grouped together. 

Creating, Editing, or Deleting Project Update Template Categories

Project update template categories can be selected as the associated groups when configuring different Project Update templates for project managers to use.

To create a new project update template category:

  1. Open the Project app admin interface:
    1. Project Application Admins: In Work Management, click View Applications, select the Project application, click the gear icon in the top-right corner, then select Admin from the menu
    2. Global Admins: In TDAdmin, go to Applications, then select the Project application
  2. Click Project Update Template Categories in the left navigation.
  3. In the Project Update Template Categories window, enter the category Name in the field.
  4. Click the Save button.

To edit a project update template category:

  1. From the Project Update Template Categories page, click the Edit link at the right end of any Project Update Template Category row.
  2. In the text box in the Project Update Template Categories Display window, edit the name
  3. Click the Save link.

To delete a project update template category:

  1. From the Project Update ​​Template Categories page, click the Delete link to the right of any Project Update Template Category row.
  2. Click the OK button in the confirmation popup.

Creating, Modifying or Deleting a Project Update Template

To create a Project Update template:

  1. Open the Project app admin interface:
    1. Project Application Admins: In Work Management, click View Applications, select the Project application, click the gear icon in the top-right corner, then select Admin from the menu
    2. Global Admins: In TDAdmin, go to Applications, then select the Project application
  2. Click Project Update Templates in the left navigation.
  3. Click the +New button in the Project Update Templates Display window.
  4. Fill out the required and optional details in the New Project Update Template popup window.
  5. Click the Save button.

To modify a Project Update template:

  1. From the Project Update Templates page, click the Title link of the Project Update template that you’d like to modify.
  2. Edit the required and optional details in the New Project Update Template popup window.
  3. Click the Save button.

Administrators may wish to delete unused or old Project Update templates. Ensure that you select the appropriate template because this action is permanent.

To delete an unused Project Update template:

  1. From the Project Update Templates page, click the Delete link to the right of any Project Update Template row.
  2. Confirm you would like to delete the template by clicking OK in the confirmation message

Using a Project Update Template

To use a configured Project Update Template when updating a project:

  1. In Work Management, navigate to View Applications, and select the Project application.
  2. Click the project Name in the left navigation under Projects.On the project Details page, click Update
  3. Within the Comments section click Templates, select the Category, then the desired Template Name.
  4. Complete any other updates, then click Save.
