This how-to article will help Project Managers and Enterprise Users to create and manage surveys using the Work Management interface. The user must have access to the specific Project application with the “Create and modify Project Surveys” permission.
Overview
Project surveys can be used to get valuable feedback from users, such as Project Managers, Team Members, Stakeholders, and Sponsors, after a project has been closed. With only a few exceptions, project surveys function the same way as Ticketing Surveys.
Permissions
To create and modify surveys, the user must have the Enterprise Security Role and access to the specific Project application.
The following application-level security role permissions are required to work with surveys:
- Access All Project Surveys
- Create and modify Project Surveys
- Delete Project Survey Responses
- Delete unused Project Surveys and Project Survey Questions
This can be managed in TDAdmin > Applications > the Project application > Users & Roles > Security Roles and selecting the appropriate security role.
The ability to report on survey responses is available to all individuals with access to the Analysis application.
Creating a Project Survey
- In Work Management, navigate to View Applications, and select the Project application.
- Click the Gear icon in the top right corner.
- Select New Survey from the list of options.
- Enter the required fields, using the Help tips for guidance, such as the Options & Introduction Message, Closing Message, Already Taken Message, Invalid Request Message, and Not Public Message.
- Click the Save button.
Most of the configuration and settings for Project Surveys are the same as Ticketing Application surveys. Refer to the Getting Started with Ticketing Surveys article for details and instructions.
Adding Questions to a Project Survey
You can create new questions for your survey, or you can reuse existing questions that are also asked on other surveys from the Questions Bank.
To open a survey and add questions:
- In Work Management, click the View Applications button and select the Project application.
- Click the Gear icon in the top right corner.
- Select Surveys from the list.
- On the Surveys page, select the Both option, then click Search to view active and inactive surveys.
- Click the Name of the desired survey.
- Click the Questions tab on the survey details page.
- To see questions that have been created in the past, click the Available option on the right side of the toolbar.
- To add a new question, click the +New button.
- Enter the Name of the Survey, the Header Text, and Question Type
- After all questions have been added, click the Save button on the Questions tab.
Surveying Project Members on Project Close
To send project members a closure survey on project close:
- In Work Management, click the View Applications button and select the Project application.
- Click the project name in the left navigation.
- Click Details in the left navigation.
- Click the Actions button and select Close.
- On the Close Project page, under the Request Feedback section, select a Closure Survey from the dropdown.
- Select the Participants and enter any Other People who are not included in the Participants list.
Viewing Project Surveys
A Survey Responses tab will be available on the Project Management console. This displays all current responses to the Closure Survey for the project.
To view project surveys:
- In Work Management, click the View Applications button and select the Project application.
- Click the gear icon on the right side of the toolbar.
- Select Surveys from the list of actions.
- Select the Responses tab.
Gotchas & Pitfalls
Project Surveys cannot be made public and are only intended for project Resources.
Examples
Project Surveys help to get valuable feedback from project resources and various other participants after a project's closure. They can help act as a measurement of how the project went overall. It can provide an opportunity for feedback to the PMO and/ or Project Manager on improvements that should be applied to future projects.
In addition to improvements to be made, it can be a good measurement for praise to the team working on the project.
