Project Applications Overview

Work Management version 12.2 introduces Project Applications, moving most administrative functions related to projects and project requests into the project application. This article provides an overview of how the project and project request areas of the system are updated during the move to Project Applications. 

What's in a Project Application? 

Version 12.2 moves most areas of the Projects, Portfolio Planning, and Project Templates applications into a new Project application. In TDAdmin, these configurations are consolidated into the Applications area of the system. All projects, project templates, and project requests now belong to a project application. Any issues, risks, plans, or other components on those projects and requests also belong to the project application. 

Some areas of the system are relevant to project management but are not part of the project application. These include: 

  • Resource Management and related functionality
  • Programs and Portfolios
  • Workspaces
  • Time and Expense related functionality

Changes in TDAdmin Navigation

This table describes where pages in TDAdmin have been moved or duplicated in Project Applications.

Page/Category Description
Notification Templates Notification templates related to projects and project requests are now in the project application.

Notification templates related to Portfolios, Time & Expense, Workspaces, and Resource Requests remain at the organization level.
Portfolio Planning Pages in the Portfolio Planning category in TDAdmin are moved into the project application.

Some of these pages are moved into one of the folders within the project application's navigation: Custom Attributes, Project and Request Sections, Searches and Reports, Statuses, and Workflow. 

Request Forms and Automation Rules have been renamed to Project Request Forms and Project Request Automation Rules to improve clarity of what each page includes.
Projects Pages in the Projects category in TDAdmin are moved into the project application. 

Some of these pages are moved into one of the folders within the project application's navigation: Custom Attributes, Project and Request Sections, Searches and Reports, Statuses, and Workflow. 

Type Categories and Priorities are features that are shared with ticketing applications, and are available in the Shared Settings folder in the project application (as well as where they are available from within ticketing applications). 
Functional Roles and Resource Pools The pages for Functional Roles and Resource Pools are available within the project application Users and Roles folder, but are shared across the organization and remain available at the organizational level. 

Changes in TDNext Navigation

Within TDNext, users will continue to access the Projects and Portfolio Planning application pages in the View Applications menu. When a user has access to multiple project applications, each application will show in the View Applications menu. 

The Project Templates page and Document Workflow page are now accessed from the Settings menu in the Projects application. Access to the Project Templates page is controlled by a new View Project Templates page security role permission. 

Changes to Security Roles

As a result of moving projects and requests into an application, there are changes to security roles and user applications. The Project Templates and Portfolio Planning applications are no longer provisioned using an application record, but are controlled using security role permissions within the project application.

As version 12.2 launches, security roles are automatically generated within the project application that provide equivalent access for each user. If your organization has users with the same security role and different combinations of access to th Portfolio Planning and Project Templates application, you will see variations of the security roles generated in the project application.

Some project-related permissions are duplicated between the global security role and the project application security role, especially those related to issues and risks. The global version applies to workspaces, programs and portfolios, and the project application version applies within the project application. 

Additional security role permissions have also been added to support project applications: 

  • Move Projects - controls whether the user can move projects from the current application to another application they are a member of.
  • Move Project Requests - controls whether the user can move project requests from the current application to another application they are a member of.
  • View All Projects - allows a user to view all projects within the application 
  • Manage All Projects - allows the user to manage all projects within the application without being listed as a manager
