Configuring Technician Signatures

Technician signatures can be automatically added to email notifications sent when tickets are updated or commented on. When enabled, these signatures can be self-managed by users in Work Management or set by global administrators. Signatures can be configured for inclusion on ticket updates, new comments, and all replies.

Signature Self-Management for Work Management Users

Enable Signature Self-Management

Global administrators can configure global security roles to allow users to update their own signature and other profile details in Work Management. Note that signatures cannot be edited in the Client Portal.

To enable profile editing:

  1. Go to TDAdmin > Users & Roles > Security Roles
  2. Click the security role 
  3. Under All, check the Allow User to Edit Their Profile option
  4. Click Save

Repeat this for other security roles as needed.

Managing Your Own Signature in Work Management

To manage your own signature in Work Management:

  1. Log in and go to Work Management
  2. In the upper right-hand corner, click on your initials
  3. Select My Profile
  4. Select the Settings tab in the profile window
  5. Click Edit
  6. Update the Technician Signature in the text box as needed
  7. Enable options for when the signature should be applied:
    • Apply to all updates and new comments for Tickets and Ticket Tasks
    • Apply to all replies for Tickets and Ticket Tasks
  8. Click Save

Editing User Signatures in TDAdmin

To edit a user's signature in TDAdmin:

  1. Go to TDAdmin > Users & Roles > Users
  2. Locate the user you wish to edit and open their user record
  3. In the General section of the record, scroll to the bottom of the page
  4. Update the signature in the text block as needed
  5. Enable the options for when the signature should be applied:
    • Apply to all updates and new comments for Tickets and Ticket Tasks
    • Apply to all replies for Tickets and Ticket Tasks
  6. Click Save

Technician Signature String

The associated Technician Signature of the user. 

Note that this column takes plain text and converts it into HTML. Therefore, styling the signature will require wrapping text in HTML tags. For example, to add new lines to the technician signature, you must use HTML line breaks, or any equivalent HTML formatting (ex. Sincerely, <br /> John Smith).

Apply Technician Signature to Updates and Comments Boolean Whether the user's associated Technician Signature is applied to ticket updates, comments, and ticket tasks.
Apply Technician Signature to Replies Boolean Whether the user's associated Technician Signature is applied to ticket replies and ticket tasks.
