University of Delaware has developed a process that enables IT groups to create and maintain templated knowledge articles with the software/applications/systems access required for their specific departments and roles within the departments. In the first iteration, HR Liaisons are creating tickets identifying new hires, their departments and role within the department and starting date once the new hire has accepted the offer and created their email account. We have created an iPaaS flow that parses the applicable knowledge articles and creates a ticket and tasks for the IT department to configure the laptop/desktop for the new hire. This enables all IT to be notified of a new hire, be assigned specified tasks to configure the device for the applicable role the new hire, rather than have the new hire show up on their first day and say "they said you'd give me a computer". The knowledge articles provide IT departments with standard documentation regarding the applications/software/systems that create specific tasks that new IT members can follow and learn from. The ticket also provides information on what was provided to the new hire that can be referenced during offboarding. This process allows flexibility to individual departments to enable access to the tools specific to their organization, the IT departments to manage their information and automate unit specific tasks that can be used across the enterprise.
